Privacy Policy

This Privacy Policy explains what information Mellendith Shift ("we," "us," or "our") collects, how we use it, and the choices you have. It applies to the Mellendith Shift website, applications, and related services (the "Service").

1. Information we collect

From facilities:

  • Facility name, address, and contact details
  • Account holder name and email (via our authentication provider)
  • Billing information, processed by Stripe (we do not store full card numbers ourselves)
  • Roster and shift data you enter, including information about clinicians you add to your pool (name, phone, email, license details, as provided by you)

From clinicians:

  • Name, phone number, email address
  • License type, number, issuing state, and expiration date
  • A photo or scan of a license or credential card, if you upload one. We store that image so you and the facilities you work with can review it
  • A short profile/bio, if provided
  • Location data, when you grant permission — used to show nearby shifts, estimate travel time, and record clock-in/clock-out events for shifts
  • Application and shift history, including no-show and callout records
  • Messages exchanged with facilities through the Service
  • Push notification subscription details, if you enable notifications

When someone books a demo (no account required):

  • Name, work email, and facility or agency name
  • Phone number and notes about what you want to see, if you choose to provide them
  • The date and time you pick, and the timezone shown in your browser

Automatically collected:

  • Device and browser information, app preferences (such as light/dark mode, notification sound choice), stored locally on your device
  • Usage data such as pages viewed and actions taken within the Service, for the purpose of operating and improving it

2. How we use this information

We use the information above to:

  • Operate the core functionality of the Service — matching shifts, managing rosters, processing applications, and facilitating communication between facilities and clinicians
  • Verify basic credential completeness and flag expired licenses before a shift can be confirmed
  • Process payments and manage subscriptions
  • Schedule demos, send a confirmation, and put the meeting on our calendar with a Google Meet link
  • Show a credential card image to the clinician who uploaded it, to our administrators when they need it to operate the Service, and to a facility only when that clinician is on the facility's roster, has applied to one of its shifts, or has been offered or confirmed for one of its shifts
  • Send notifications you have opted into (push notifications, email)
  • Maintain security and audit records, including logging when a message thread is accessed
  • Generate aggregate, facility-level insights (for example, summarizing callout or no-show patterns) — these insights are generated using an AI language model provided by a third party (Anthropic); we do not use AI to make final staffing decisions on a facility's behalf
  • Improve and maintain the Service

3. How we share information

We do not sell your personal information. We share information with:

  • Service providers who help us operate the Service, including our database and hosting provider (Supabase), application hosting (Vercel), payment processor (Stripe), email delivery provider (Resend), and AI processing provider (Anthropic) for the limited insight-generation use described above
  • Google, for our own calendar only. We connect a Google account we control so we can see when that calendar is busy and create demo events on it. The event can include your name, email, facility or agency, phone, and notes, and Google emails you the invitation. This access is used only to read availability on our calendar and to create, update, or cancel those demo events. We do not use it to read, change, or share anyone else's Google data
  • The other party to a shift or connection — for example, a facility can see the profile and application information of clinicians who have applied to their shifts or joined their pool; a clinician can see information about facilities they have applied to or connected with
  • As required by law, or to protect the rights, property, or safety of Mellendith Shift, our users, or others

We do not share clinician contact information with facilities the clinician has not applied to or connected with, and the Service does not initiate contact with a clinician about a shift they have not applied to.

4. Data retention

We retain your information for as long as your account is active, and for a reasonable period afterward as needed for legal, security, or legitimate business purposes (such as maintaining audit records). You can request deletion of your account and associated data as described below.

5. Your choices and rights

  • Location access can be granted or revoked at any time through your device settings.
  • Notifications can be enabled or disabled in your account settings.
  • Account information can be updated directly in your profile or facility settings.
  • Deletion: you may request that we delete your account and personal information by contacting us at hello@mellendithshift.com. We will honor such requests except where we are required or permitted to retain certain information (for example, financial records required for tax or audit purposes).

Depending on where you live, you may have additional rights under applicable law (such as the right to access, correct, or port your data). Contact us to exercise these rights.

6. Security

We use reasonable technical and organizational measures to protect your information, including encryption in transit and access controls limiting who can view facility and clinician data to the relevant parties. No system is completely secure, and we cannot guarantee absolute security.

7. Children's privacy

The Service is intended for use by adults working in or managing healthcare staffing. It is not directed at children, and we do not knowingly collect information from anyone under 18.

8. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version here and update the "Last updated" date above. Material changes will be communicated in-app or by email where appropriate.
